Export paid bills from QuickBooks Desktop

Step by step: the QuickBooks Desktop report to run, the columns to keep, and how to save it as CSV for ERPSav.

Export the paid bills

  • Open Reports, then Vendors & Payables, then Transaction List by Vendor.
  • Set Dates to the last two or three years.
  • Choose Customize Report, open Filters, and set Transaction Type to Bill.
  • On the Display tab, keep Date, Num, Name, Amount and Paid (or Open Balance).
  • Choose Excel, then Create New Worksheet, and pick the option to create a comma separated values (.csv) file.

What the file needs

  • One row per bill, with the supplier, the supplier's invoice number and the amount.
  • Invoice date, payment date, amount paid and the cheque or payment reference make the matching sharper. Add them if the report offers them.
  • Two to three years of history. Split a larger file by year; re-importing an overlapping file never double counts.

Then

Open Supplier payments in ERPSav and drop the file on Import a file. If a column name is not recognised, ERPSav asks which column is which and remembers the answer for next time.
