Export paid bills from Microsoft Dynamics 365 Business Central

Step by step: the Microsoft Dynamics 365 Business Central report to run, the columns to keep, and how to save it as CSV for ERPSav.

Export the paid bills

  • Search for Vendor Ledger Entries and open the page.
  • Filter Document Type to Invoice and Posting Date to the last two or three years.
  • Show the columns Vendor Name, External Document No., Posting Date, Amount and Remaining Amount.
  • Choose Share, then Open in Excel.
  • Save the workbook as CSV.

What the file needs

  • One row per bill, with the supplier, the supplier's invoice number and the amount.
  • Invoice date, payment date, amount paid and the cheque or payment reference make the matching sharper. Add them if the report offers them.
  • Two to three years of history. Split a larger file by year; re-importing an overlapping file never double counts.

Then

Open Supplier payments in ERPSav and drop the file on Import a file. If a column name is not recognised, ERPSav asks which column is which and remembers the answer for next time.

Good to know

External Document No. is the supplier's invoice number; Document No. is your own. Map External Document No. to Invoice number if ERPSav asks.
