What your ERP catches, and what it lets through

Every ERP has some duplicate-bill check. None of them catches everything. These guides use each vendor's own documentation, with sources.

Why the built-in check is not enough

Duplicate-bill checks compare the invoice number, and sometimes the vendor and amount, as they were typed. The duplicates that get paid look different to the system: INV-1043 keyed once as 1043, the same supplier set up under two vendor records, a statement or reminder paid as well as the invoice, or a payment run sent twice. Finding them means normalising invoice numbers and comparing on vendor, amount and date windows across the paid history, then asking each supplier for the money back.
